Privacy Policy
Caption AI · Last updated: April 19, 2026
Caption AI is a Chrome extension that helps users view and manage AI-assisted captions and translations during Google Meet sessions. This Privacy Policy explains what information the extension may process, how it is used, and what choices users have. Please read it carefully before using the extension.
1. What Information We Process
Depending on how the extension is used, Caption AI may process the following categories of information:
- Caption and transcript text — text captured from Google Meet's live caption stream during an active session.
- User prompts and translation input — text entered or submitted by the user to request a translation or AI-assisted action.
- Extension settings and preferences — locally stored configuration choices such as the selected AI provider, target language, and related options.
- User-provided API keys — API keys entered by the user are stored locally on the user's device as part of the extension settings and are used only to authenticate requests to the user-selected AI provider.
Caption AI does not collect data in the background, does not track browsing activity, and does not access any microphone or camera input directly. All processing is initiated by the user during an active Google Meet session.
2. How We Use This Information
Information processed by Caption AI is used solely to provide the extension's stated features, including:
- Displaying AI-assisted captions and translations within Google Meet.
- Sending user-selected text to a third-party AI provider when the user actively requests a translation or AI response.
- Saving user preferences locally so that settings persist between sessions.
Caption AI does not use any processed information to build user profiles, serve advertisements, or for any purpose beyond what is described here.
3. Local Storage
Caption AI uses Chrome's built-in storage API to save user preferences on the user's own device. This includes the selected AI provider, language settings, and other configuration options. This data remains on the user's device and is not transmitted to any server operated by Caption AI. It persists until the user changes or clears it through the extension settings, or until the extension is uninstalled, at which point Chrome removes the stored data.
4. Third-Party AI Providers
Caption AI is designed around a "Bring Your Own Key" (BYOK) model. When the user selects an AI provider and submits a request, the relevant text (such as a caption segment or translation input) may be transmitted directly to that provider's API using the API key supplied by the user. Caption AI acts only as an intermediary and does not store or log the content of these requests.
AI providers that may be referenced in the extension include:
- Anthropic — anthropic.com/privacy
- OpenAI — openai.com/privacy
- Google Gemini — policies.google.com/privacy
- Perplexity — perplexity.ai/privacy
- xAI — x.ai/privacy
- DeepSeek — deepseek.com/privacy
Each provider has its own privacy policy and data retention practices that are independent of Caption AI. Users are encouraged to review the privacy policy of any AI provider they choose to use.
5. International Data Transfers
When a user submits text to a third-party AI provider, that text may be transmitted to and processed on servers located outside the user's country of residence, depending on the infrastructure of the selected provider. Caption AI does not control where third-party providers store or process data. Users should consult the relevant provider's privacy policy for information about their data transfer practices.
6. Data Selling and Advertising
Caption AI does not sell, rent, or trade any user information to third parties. No data processed by the extension is used for advertising, marketing, or user profiling of any kind.
7. Data Security
Caption AI does not operate its own servers or databases, which means it does not store user data in a centralized location that could be compromised. API keys entered by the user are stored locally using Chrome's storage API and are not transmitted to any Caption AI-operated service. When text is sent to a third-party AI provider, it travels over an HTTPS connection established by the user's browser. Caption AI does not implement additional encryption beyond what is provided by the browser and the provider's API endpoint.
8. Remote Code
Caption AI does not use remotely hosted code. All extension logic is packaged within the extension itself and reviewed as part of the Chrome Web Store submission process. External network connections are strictly limited to API calls initiated by the user to their chosen AI provider.
9. Data Retention
User preferences stored via Chrome's storage API remain on the user's device until explicitly changed or deleted by the user, or until the extension is uninstalled. Caption AI does not retain any user data on its own servers. Text sent to third-party AI providers is subject to those providers' own data retention policies, over which Caption AI has no control.
10. User Rights
Because Caption AI does not collect or store personal data on external servers, most data rights (such as access, portability, or erasure requests) can be exercised directly by the user within the extension or browser settings. Specifically:
- Access and deletion of local preferences — users can view and delete stored preferences at any time through the extension's settings panel or by uninstalling the extension.
- Data sent to AI providers — for any data transmitted to a third-party AI provider, users should contact that provider directly to exercise access, correction, or deletion rights under applicable law.
Users who have questions about their data or wish to raise a concern may contact us at the address listed in the Contact section below.
11. Children's Privacy
Caption AI is not directed at children under the age of 13, and we do not knowingly collect personal information from children. The extension is intended for use by adults and by individuals who participate in professional or educational video meetings. If a parent or guardian believes that a child under 13 has provided information through the extension, please contact us so we can take appropriate steps.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in the extension's features, applicable law, or our practices. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage users to review this policy periodically. Continued use of the extension after changes are posted constitutes acceptance of the updated policy.
